  • What information do we collect?
    Personal information is any information that can be used to identify you. So, for example, if you donate money, request services or products, or become involved in our campaigns, we may collect and process the personal information that you’ve provided. We may also collect information from you when you report a problem with our website or if you complete a survey which we use for research and feedback purposes. This personal information may include your name, email address, postal address, telephone or mobile number, financial details, UK tax payer information (for Gift Aid), records of responses to campaigns, as well as how you came to find us. We may also collect details of your visits to our website, for example your location data, other sites you’ve visited and the resources that you access. We use this information to analyse and improve our marketing, and never to identify individuals.   • What information do Visyon collect and why?
    Visyon collects personal information (such as your name, age, address, contact details) so that we can identify and communicate with you in order for us to work together. This may be to provide you with services, support or information that you have requested. We also collect and record sensitive personal information (such as ethnicity, your personal circumstances). We do this to ensure that we are able to offer you safe and suitable services. We may also be given information about you from other sources, when they have your permission to share information about you. When you work with Visyon, we will keep notes of our work so that we can provide you with the best service to meet your needs. We will only keep information that is relevant to the support we are providing to you. Visyon also wants to ensure that we are offering the most effective services possible. In order to do this we measure our effectiveness, we require evaluations, reports or request feedback from you before, during and after your work with us. From time to time we may ask you to check the accuracy of the information we keep about you. If you think we have got something wrong or some of your information has changed, please tell us and we will make corrections. Visyon does not require your consent to keep information, we have a legal requirement to keep records of our work to fulfil our safeguarding obligations.
  • How do we use cookies?
    Our website is hosted by Wix and they use your cookies to give you a more personalised experience online. It helps them to create a more effective website that reflects your needs. At Visyon, we use information collected through cookies to analyse and improve our marketing. Through cookies we collect and record information about how you use our site by collecting your IP address (in simple terms that just means a number that identifies a specific computer or other internet device), but these cookie files and IP addresses will never be used by Visyon to identify you as an individual.   • Keeping your information up to date
    To make sure we always have the most up-to-date information about how to contact you, we may also, from time to time, update your records to reflect any changes to your personal information. This information may come directly from you, or it may come from a third party that we consider is legitimate and trustworthy and in circumstances where it is appropriate and where you will have had a clear expectation that your details would be passed on for this purpose.
  • How do we use your personal information?
    There are broadly six ways that we may use your personal information, all to help us provide the most relevant and personalised service for you: 1. To provide you with information or support (such as with fundraising or campaigning activities), services or products you’ve requested or which we feel may interest you. But this will only happen when you’ve consented to us contacting you. 2. To analyse and improve the services offered on our websites. This means we can provide you with the most user-friendly navigation experience we can. 3. To use your IP addresses to identify relevant information. This may include information such as your approximate location. It also helps us to block disruptive use or establish information like the number of visits to the website from different countries. 4. To make our marketing campaigns more targeted and relevant to potential supporters. 5. To process personal information for the purposes of customer analysis and, where you have consented to us doing so, direct marketing. We may process your information to help us with our activities and to provide you with the most relevant information. 6. To process personal information and/or provide this to a third party for the purposes of profiling and understanding who visits our site. This could be analysing demographics to inform campaign and marketing strategies. For example: we might use your location to target emailed information about a project in the Staffordshire Moorlands area to supporters who live there; or we might use a supporter’s previous interaction with Visyon for targeting purposes, eg someone who has previously attended the pub quiz might be prioritised for communications about future pub quizzes. Targeting: We may also add information to supporters’ personal information to help us with our targeting. Such information would not be personally identifiable or specific to you, but rather would give an indication of the type of supporter you are. These activities may also involve profiling. However, you have the right to object to the use of your personal information for profiling. For information on how to exercise these rights, please see the section on ‘Your Rights’ below.   • How will we contact you?
    Visyon was founded by members of the community, and we need your support in order to continue helping local children and young people. That’s why we love to keep you posted with news about our work, how your support has made a difference and the variety of exciting ways you can support us in the future. However, we will not contact you again if you ask us not to. This can relate to all communications with you from Visyon or to certain campaigns or channels of communication. You can contact us to change your contact preferences by emailing administration@visyon.org.uk, by phoning 01260 290000, or by writing to Visyon, Fellowship House, Park Road, Congleton, Cheshire CW12 1DP. We will only contact you to send you information about how you can support Visyon by email, post or phone if you have given us your prior permission, and we will only contact you via these channels for the purposes that you have agreed to.
  • How long will we keep your personal information?
    Visyon always have your best interests at heart and your personal information will not be retained by us for longer than necessary in relation to the purposes for which it was originally collected, or for which it was further processed, subject to certain legal obligations mentioned below. We will retain personal data in accordance with our data retention policy, set out below. We review our data retention periods for personal information on a regular basis. We hold personal information relating to: Donations you’ve made to us - for 7 years since the date of your last donation Legacy donations - if you indicate that you’d like to leave us a legacy gift we will retain personal data until 7 years after the legacy is received Entering raffles and competitions - for 5 years Campaigning on our behalf - for 3 years since you last campaigned with us Purchasing services, like training, support services or venue hire - for 3 years Subscribing to a newsletter - you can unsubscribe at any time, and we will check that you are happy with your subscription at least once every 7 years We are legally required to hold some personal information to fulfil statutory obligations, for example the collection of Gift Aid or to support certain financial transactions. We will also hold information about your details so that we can respect your preferences for being contacted by us. The law allows you to withdraw your consent to any particular usage of your data at any time without needing to specify a reason.   • Making our communications relevant to you
    We want to ensure that we provide you with information that is relevant to you. In order to do this, we may need to analyse the information we hold on you for supporter analysis and data quality purposes. This analysis will help us to ensure that you only receive targeted and relevant communication. This ensures we can spend our charitable donations effectively to obtain the biggest impact for local children and young people. Additionally, as our data is captured from various different sources (e.g. donation, through our website, campaign data), for data quality purposes we will analyse your data to ensure we do not have multiple versions of information on the same person on our database.
  • Sharing your information with third parties - keeping your information safe
    We will not rent or sell your personal information to other organisations for use by them in any way, including in their own direct marketing activities. Visyon uses some third party organisations to process and/or store the data we collect. We use these third parties in order to ensure that the data is processed and stored safely and securely. For instance, we process some online donations through Charity Checkout, and we store supporter data using a Salesforce database. Also, it is good practice for us to get our accounts audited annually by a professional auditing company. To do this, they need to see the data we hold on the donations we have received. In such cases, we disclose only the personal data necessary to deliver that service. Visyon has taken steps to ensure that all third party data processors are also safe and secure, and that they comply with the General Data Processing Regulations in force from May 25th 2018. We may disclose your personal information to third parties if we are legally obliged to; or in order to enforce or apply our terms of use for this website or other agreements; or to protect the rights, property or safety of Visyon, our donors or others. This includes exchanging information with other companies and organisations for the purposes of fraud detection and protection.
  • How do we handle your direct debit or credit card information?
    Visyon ensures that debit or credit card information is collected securely. This is why we use specialist third party organisations to process payments (including Charity Checkout, JustGiving, Virgin Giving Money, BTMyDonate, Square). We do not collect or store any credit or debit card data on our own systems.
  • Following links to third-party websites
    Visyon’s website and resources may include links to, or signpost you to, other websites, not owned or managed by Visyon. Whilst we try our best to only direct people to reputable websites we cannot be held responsible for the privacy of data collected by sites not managed by Visyon, nor can we accept responsibility or liability for those policies. For this reason you should consult the privacy policy on any external website you link to before you submit any data to those websites.
  • How to best protect yourself and your personal information
    To protect yourself when sending us sensitive information, please ensure that you use devices running supported operating systems that are regularly updated, and incorporate some form of malware protection, for example, running anti-virus software. Only connect your devices to networks that you trust. Where we have given you (or where you have chosen) a password which enables you to access certain parts our website, you are responsible for keeping the password confidential. You agree not to share that password.
  • Posting or sending inappropriate content
    If you post or send any content that we believe to be inappropriate or content in breach of any laws, such as defamatory content, we may use your personal information to inform relevant third parties such as your internet provider or law enforcement agencies.
  • Posting or sending content that you do not own
    We have the right to disclose your identity to any third party claiming to own any content that you posted.

No administration fee will be charged for considering and/or complying with such a request unless the request is deemed to be excessive in nature. Upon successful verification of your identity you are entitled to obtain the following information about your own personal information: The purposes of the collection, processing, use and storage of your personal data. The source(s) of the personal information, if it was not obtained from you. The categories of personal data stored about you. The recipients or categories of recipients to whom your personal data has been or may be transmitted, along with the location of those recipients. The envisaged period of storage for your personal data or the rationale for determining the storage period. We want to make sure that your personal information is accurate and up to date. You may ask us to correct or remove information you think is inaccurate.
  • Updates or changes to the privacy policy
    We reserve the right to make changes to this Privacy Policy. Each time you visit this site you should check this Privacy Policy to check that no changes have been made to any sections that are important to you. Where appropriate, any changes will be notified to you by email.
  • Where do we store your information?
    The personal information collected from you may be transferred to, and stored at, a destination outside the European Economic Area ("EEA"). It may also be processed by individuals operating outside the EEA who work for us or working on our behalf. This includes staff engaged in, among other things, the processing of your payment details and the provision of support services. By submitting your personal data, you agree to this transfer, storing and processing at a location outside the European Economic Area. Visyon has taken all steps reasonably necessary to make sure that your data is treated securely and in accordance with this privacy policy. We have done our best to protect your personal data, and ensured that it will be held in compliance with European data protection regulations. Unfortunately, the transmission of information via the Internet is never 100% secure and we cannot guarantee the security of your data transmitted to our website. This means any such transmission is at your own risk. In cases where we use external websites provided by other organisations such as Twitter, YouTube or Facebook, then we would ask you to consult their privacy policies.
  • Complaints

  • What is personal information?
    Personal information is anything that would allow us to identify you in some way, like your name or address, or your Visyon account details. Whenever you talk to Visyon it’s confidential. But sometimes we might need to tell someone outside Visyon. We may do this if: you agree to us talking to someone outside Visyon as part of our work together we believe your life or someone else’s may be in danger you or someone else is being hurt by another person you tell us that you're seriously harming another person. we are ordered to by a court of law
  • Keeping your records and information
    We respect your privacy and will keep your information safe and secure on a database which is looked after for Visyon by an organisation called GMCVO. All of your information which Visyon keeps is stored on servers which are in the UK. None of your information is kept in other countries. Sometimes in the course of our work we will need to make notes or other written records. This often happens if we see you at your school or outside of Visyon’s premises. We will always transport your information in a sealed container and transfer it to our database as soon as possible. Once the information has been transferred we will destroy the original. We also use our database to collect anonymous information to help us improve Visyon. We might share this anonymous information with other organisations for research purposes to help them understand what young people are saying, and the reasons why they are contacting us, to help improve services for young people. If you do not want your data sharing anonymously for research purposes or have any further questions please contact us on 01260 290000. Visyon is a charity and is given money by other organisations to do our work. Those organisations ask us to give them reports of our work. We will use some of your data in those reports but all of the information we give them is anonymous.
  • How long will Visyon keep my records?
    If you contact us and decide that you don’t wish to come to Visyon or if it is the wrong service for you, we will keep your records for 6 months after which they will be destroyed( unless there is another reason to retain them such as if we are concerned for your safety.) If you are under 25 when you work with Visyon: We’ll usually keep a record of your Visyon contact until you are 25 or for 7 years, whichever is longer. If you’ve had a care order or you have been adopted, we will keep this record for 75 years. If you are a parent or legal guardian: We will keep your records for seven years unless they form a part of your child’s record, in which case they will be kept until your child is 25 or for 7 years, whichever is longer. If your child has had a care order or has been adopted, we will keep this record for 75 years.
  • Can I have a copy of my records?
    Yes you can. You just need to ask us to get the process started. You do this by emailing our data protection officer who is named Brian Davey at datatprotectionofficer@visyon.org.uk . We will need to see proof of your identity and if you are under 13 we will need your parent’s consent. If you are under 13 your parent or legal guardian may ask to see your records. We may require proof of their parental responsibility status before we release your information to them. We will only release your information to a person other than yourself if it is safe to do so. It’s also important to think about whether requesting your records is the right decision for you. And to get support if you do decide to read your notes. Reading over a conversation you had with us in the past could be upsetting. We will support you through the process if that is what you want. The accuracy of your information is very important and you have a right to challenge any of the information we keep about you. We will correct information promptly or in some cases record your disagreement once we are aware of this. We will aim to provide copies of your records within 30 days.
